Professional Inventory and Schedule of Condition Services
Creating a comprehensive inventory and schedule of condition requires skill and expertise. This essential document serves as a vital record, often needed as evidence in case of disputes.
An inventory isn’t just a list of items. it should detail the condition of the property, along with its fixtures, fittings, and contents. A qualified inventory provider ensures impartiality and accurately records the property’s condition at both the start and end of the tenancy. At Premium Inventories, our experienced clerks will visit the property as requested and prepare a thorough Inventory and Schedule of Condition. This will include a complete record of each room, its contents, décor, fixtures, and fittings. Front and rear gardens, balconies, out-houses, and garages are also included.
To ensure accuracy, we ask that the property is “Inventory ready” all cleaning, decoration, and work should be completed before our visit. Each area or room will be photographed with dated digital images. Additional photos may be included to clarify details or assist in interpreting the final report. These images are embedded directly within the report.
The Inventory will cover:
- Confirmation of compliance with Fire & Furnishings regulations for any relevant furniture
- Meter readings, serial numbers, and locations
- Testing and location of smoke detectors (where possible)
- Testing and location of Carbon Monoxide alarms (where possible)
- Details of any keys and instruction manuals available on the property
The final report will be delivered to the specified parties by the next working day as standard.
Importance of a Proper Inventory & Check-In Process
An outdated, inadequate, or missing inventory especially one that cannot be proven to have been provided to the tenant can lead to the adjudicator awarding the deposit to the tenant, unless the tenant acknowledges damage or loss.
At Premium Inventories, we ensure a thorough and professional Check-In process. Our clerk will meet the tenant(s) at the property just before they move in at a mutually agreed time. They will walk the tenant(s) through the Inventory document, clearly outlining the condition of the property and its contents. If the tenant wishes to add any comments, these will be electronically included in the document. This process allows for an open discussion, reconciling the clerk’s findings with the tenant(s)’ expectations and confirming the property’s condition on the day of check-in.
The tenant(s) will then electronically sign the Inventory, agreeing to the document including any additional comments creating a binding record of the property’s condition and contents prior to move-in. Completing an accompanied Check-In on the tenancy start date also ensures compliance with legal requirements, such as recording and testing alarms at the property.
During the Check-In, the clerk will:
- Test, record, and photograph the keys provided to the tenant(s)
- Record meter readings and locations
- Check the presence and working condition of smoke alarms and carbon monoxide detectors
- Document evidence of professional cleaning (e.g., invoices)
- Identify any specific items that require immediate attention
The signed Inventory and completed Check-In report will be delivered to the specified parties by the next working day as standard.
Alternative Dispute Resolution (ADR) and the Importance of a Detailed Check-Out Report
All deposit protection schemes are required to offer ADR (Alternative Dispute Resolution) in case of a dispute over the deposit. If an issue cannot be resolved between the parties, it will be brought before an adjudicator. Adjudicators heavily rely on the inventory, schedule of condition, and check-out report, as well as the conditions outlined in the tenancy agreement. At Premium Inventories, we offer thorough Check-Out Inspections, with or without the tenant(s) present, based on your preference. If we coordinate the inspection directly with the tenants, we will confirm the appointment in writing and provide guidelines on how the property should be left.
During the Check-Out Inspection, our clerk will independently and impartially compare the condition of the property with the recorded details from the Inventory and Check-In Report. Any changes to the property beyond normal wear and tear will be noted and photographed where possible. The report will highlight these differences and suggest the most reasonable remedies, such as cleaning, redecoration, repairs, or compensation.
Each area and room will be individually photographed with dated digital images. Additional photographs may be taken to help clarify any areas of concern.
This evidence-based report allows the landlord or agent to fairly allocate any costs for works or cleaning required. The check-out report is produced from an entirely impartial perspective by a professional clerk, specifically trained to assess fair wear and tear and to allocate costs equitably.
The Check-Out Report will include:
- A record/photograph of the keys returned by the tenant(s)
- Confirmation that all appliances have been switched off
- Confirmation that all windows and doors are locked and secure
- Verification of any cleaning receipts provided by the tenant(s)
- Meter readings, serial numbers, and positions
- Testing and location of smoke detectors (where possible)
- Testing and location of Carbon Monoxide alarms (where possible)
- Any instruction manuals present in the property
The final report will be delivered to the specified parties by the next working day as standard.
Energy Performance Certificate (EPC) for Letting and Sale Properties
Every property being placed on the market for letting or sale must have a valid EPC (Energy Performance Certificate).
An EPC assesses a property’s energy efficiency using a traffic light system, rating the property from A to G, with A representing the highest level of energy efficiency.
As of April 2018, the law requires all new tenancies to have an EPC rating of at least E. Since April 2020, this requirement extends to all existing tenancies. The EPC provides prospective tenants or buyers with a clear overview of the property’s energy performance, including any recommendations for improvements that could enhance efficiency.
An EPC is valid for 10 years and can be reused multiple times during that period. At Premium Inventories, our domestic energy assessor is fully qualified and accredited. All EPCs are lodged with the government’s EPC register within 24 hours of completion, and a copy of the certificate will be provided to you.

Gas Safety Certificate (CP12) for Rental Properties
Landlords are legally required to provide and hold a valid gas safety certificate for all gas appliances within their rented property. Known as the CP12 certificate, it confirms that gas appliances including boilers, flues, fires, and hobs are safe and in good working condition. This certificate must be renewed annually to ensure ongoing compliance.
Faulty gas appliances can pose serious dangers, such as carbon monoxide leaks, gas leaks, or even fires. To protect both tenants and property, it is crucial for landlords to stay on top of their legal obligation and ensure their gas safety certification is up to date.
Important: A copy of the gas safety certificate must be provided to tenants within 28 days of the check being completed.
